If different subject matter experts have drafted content, it may benefit from a substantive edit involving some re-writing and re-structuring to ensure consistency and smooth transitions. Substantive editing
Substantive editing takes place after members of the proposal team have completed working drafts of proposal sections. This step is invaluable if there are several section writers, each with their own particular style and if writers have expertise in a certain area but lack writing experience.

Generally, a substantive editor:

*       Analyses a document's structure and content

*       Re-organises a document to give it a logical and easy-to-follow structure

*       Writes win statements and section summaries

*       Condenses and combines sections where needed

*       Ensures graphics capture the concepts described in the document

*       Consults with the original writer to ensure integrity of meaning.

This level of edit focuses on the content as a whole. Where time allows, original written material should be given a substantive edit before the final review, to capture any major issues or discrepancies in the text.

 

Copy editing
Information read by your client base has to be consistent and free of errors. Copy editing gives your document precision, consistency and polish. During the life cycle of a proposal, copy editing is usually performed after the final review. 

A copy editor:

*       Corrects errors in spelling, punctuation, grammar and sentence structure

*       Ensures parallel construction in sentences and lists

*       Applies consistent use of numbers, abbreviations, acronyms and capitalisation

*       Confirms graphics are appropriately placed and numbered

*       Eliminates unnecessary wordiness 

*       Re-writes awkward text to improve readability

*       Checks figures and calculations

*       Queries confusing passages and major organisational problems

*       Suggests improvements in logical construction or organisation.  

 

Proof reading
